SIAP SIAGA - Admin Assistant for Bali (Consultant Position)


Program Overview

The SIAP SIAGA Program is the Australia-Indonesia Partnership on Disaster Risk Management that aims to improve Indonesia’s ability to prevent, prepare for, respond to, and recover from rapid and slow onset disasters in Indonesia and strengthen cooperation between Australia and Indonesia on humanitarian action in the Indo-Pacific region. The SIAP SIAGA Program is aligned with the priorities of Indonesia’s Medium-Term Development Plan (RPJMN) 2020-2024 and the Australian Government Humanitarian Strategy (2016).
The SIAP SIAGA Program works closely with the National Disaster Management Authority (BNPB), Ministry of National Development Planning/National Development Planning Agency (Bappenas), Ministry of Home Affairs (MoHA), Ministry of Social Affairs (MoSA), Ministry of Foreign Affairs (MoFA), provincial and district/city government.
The operations in Bali Province have started since early April 2020, in supporting the Government to response to COVID19 emergency. Since then, the program has been further extended and entered regular program activities fromthe beginning of 2021, with the program annual working plan (AWP) for 2021 being signed-off by BNPB. The program activities are currently progressing withmore initiatives being implemented per the 2021 plan, inpartnerships with various stakeholders, primarily Provincial BPBD and other government offices.
The Call Down Administration Assistant is responsible for supporting the DRM Area Coordinator in Bali with administrative support in the activities implementation and ensure compliance tothe company policies andregulation, in close coordination and matrix oversight of the Finance and Administration Assistant for Bali and Sub-national Program Officer.

Roles and Responsibilities
In general, this position is expected to:

  • Carry out administrative functions by requests (on call-down) when needs arise within Bali Area Team in activity’s implementation and when required.
  • Provide support to Finance and Administration Assistant for Bali
  • Provide support in various activities included but not limited to administering the attendance records of Bali team (FXTEs and STAs), project letters, travels, and logistics for events/activities.
  • Support Bali team in ensuring compliance on required documentations and proper documentation system for the team.
  • Provide support in translation (or outsourcing translation) of key program documents to ensure that all critical documents are bilingual Bahasa Indonesia and English.
  • Participate in regular team meetings, briefings and manage minutes of meetings.
  • Other tasks as requested and agreed with the DRM Area Coordinator – Bali.

Qualifications and Experience

  • Indonesian National, based in Bali (no relocation will be provided).
  • Secondary degree in Administration, Management, Secretary Academy, or other related fields.
  • Minimum 5 years’ experience in supporting team or assistant to leadership.
  • Strong communication, writing and analytical skills.
  • Strong negotiation and problem-solving skills.
  • Fluent in Bahasa Indonesia and English (preferable).
  • Demonstrated ability to work with people from diverse backgrounds and perspectives, and a professional commitment to promote a culture of gender equality and social inclusion.
