HR Administrator

We are seeking a detail-oriented and highly organized HR Administrator to join our team in Bali. This role is crucial in ensuring the smooth and efficient operation of our Human Resources department, providing essential administrative support across various HR functions. The ideal candidate will be adept at managing HR records, assisting with recruitment processes, and supporting employee relations, all while upholding confidentiality and professionalism.

Key Responsibilities:
  • HR Record Management: Maintain accurate and up-to-date employee records (physical and digital), including personal information, contracts, attendance, leave, performance reviews, and training records, ensuring compliance with Indonesian labor laws.

  • Recruitment Support: Assist the HR Manager with various stages of the recruitment process, including posting job advertisements, screening resumes, scheduling interviews, coordinating with candidates, and preparing offer letters.

  • Onboarding & Offboarding: Support the new hire onboarding process by preparing necessary documentation, coordinating orientation, and ensuring a smooth transition for new employees. Assist with offboarding procedures when employees leave the company.

  • Payroll Administration Support: Assist with the collection and verification of payroll-related data (e.g., attendance, leave, overtime) for accurate and timely payroll processing, in coordination with the finance department.

  • Employee Relations Support: Act as a first point of contact for general employee inquiries regarding HR policies, benefits, and procedures. Assist in resolving minor employee issues and escalating complex matters to the HR Manager.

  • Benefits Administration Support: Provide administrative support for employee benefits programs (e.g., BPJS Kesehatan, BPJS Ketenagakerjaan, private health insurance, etc.), including enrollment, updates, and inquiries.

  • Policy & Procedure Adherence: Ensure all HR activities and documentation comply with company policies and relevant Indonesian labor regulations.

  • HR Reporting: Assist in preparing various HR reports as required by management or for compliance purposes.

  • Administrative Support: Provide general administrative support to the HR department, including managing calendars, scheduling meetings, preparing presentations, and ordering office supplies.

  • Data Confidentiality: Handle all sensitive employee information with the highest level of confidentiality and discretion.

Qualifications:
  • Minimum 1-2 years of proven experience as an HR Administrator, HR Assistant, or in a similar administrative HR role, preferably within Indonesia.

  • Strong understanding of basic HR functions and best practices.

  • Familiarity with Indonesian labor laws and regulations (UU Ketenagakerjaan).

  • Excellent organizational skills and meticulous attention to detail.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with HRIS/HRM software is a plus.

  • Strong written and verbal communication skills in Bahasa Indonesia and English.

  • Ability to handle confidential information with integrity and professionalism.

  • Proactive, self-motivated, and able to work independently as well as part of a team.

  • A positive attitude and strong interpersonal skills.

  • Diploma or Bachelors degree in Human Resources, Psychology, Business Administration, or a related field.
