Bali - Corporate Services Officer, AO
Main Purpose of Job:
We are currently looking to recruit a Corporate Services Officer (CSO) based in Bali as part of the Corporate Services Team/CST. This role combines operational and administrative responsibilities in Estates maintenance, Finance, and General Affairs which may include Logistics & Protocol processes. The CST is an expanding team that supports both the UKs bilateral Embassy to Indonesia and the UK Mission to ASEAN through a shared services platform.
The British Embassy Jakarta is part of a global network of approximately 270 Posts, representing the UKs political, defence, economic, trade, and consular interests in Indonesia. Meanwhile, the UK Mission to ASEAN works to strengthen the UKs engagement with ASEAN, building on existing partnerships and exploring new avenues for collaboration with the organisation and its member states.
The CSO plays a key role in ensuring the effective and efficient operation of the Post by delivering high-quality services across to approximately 200 staffs. The role covers a wide range of responsibilities, including Estates maintenance, day-to-day finances, and administrative support for Logistics and Protocol processes through Kemlu system (i.e. stay permit/ID card processes for Diplomats). The role ensures compliance with internal policies and external regulations, while fostering a positive, professional, inclusive, and well-functioning workplace.
The job holder will report directly to the Deputy Corporate Services Manager (DCSM) also indirectly to the Finance, Estates, and Logistics/Protocol Manager. The job holder will work closely with internal teams, external stakeholders, and service providers to support smooth operations and uphold the organisations standards.
We are looking for someone with good interpersonal and influencing skills, in order to communicate unambiguously with colleagues, detail-oriented, responsible, and can work with minimum supervision.
The position is offered on a one-year Fixed Term Contract to start with. A contract extension or conversion to a permanent contract after 1 year is possible subject to a satisfactory performance and business continuity.
What the Jobholder will be Expected to Achieve:
40% of the role will be focusing on Estates related activities:
- Act as the local point of contact and working with the Estates team in Jakarta for all estates matters across Bali network (maintenance, repairment, audit, or project-based).
- Ensure good delivery of services for Bali Consulate Office and UK-based accommodations, including liaising with internal and external stakeholders (i.e. staffs, landlords, housing agents, contractors, local officials, etc.).
- Assist in estates related and general-purpose procurement and inventory processes.
- Assist in Health and Safety documentations and activities as required in Bali.
- Other ad hoc tasks related to estates.
25% of the role will be focusing on Finance and Account related activities:
- Working with the Finance team in Jakarta to process payments and expenses in Bali and ensure compliance with internal procurement process.
- Complete reconciliation forms to manage accounts payable and receivable.
- Monitor official Embassys account; reconcile, maintain and manage balance in account.
- Other ad hoc tasks related to finance.
25% of the role will be focusing Logistics and Protocol (L&P):
- Working with the L&P team in Jakarta on customs clearance work for official deliveries.
- Liaise with UK-based staffs to facilitate smooth custom clearance processes and resolve any issues that may arise.
- Provision of protocol support to the Protocol Lead for VIP/VVIP arrangements, ensuring an effective and prompt delivery of service.
- Coordination with external stakeholders (i.e. shipping agents, airport departments, airlines, immigration, police department, transport providers, and ground handling staff) to ensure a timely and seamless operations.
- Other ad hoc tasks related to L&P support.
10% of the role will be focusing on Information Technology (IT):
- Working with the IT team in Jakarta on any IT-related issues or projects.
- Maintaining the IT inventory list in Bali Office.
- Other ad hoc tasks related to IT support.
