Job Description of the Chief Operating Manager at SETTER Company. VDG/SBB/SMT
? Position: Chief Operating Manager ? Reports to: Chief Operating Officer (COO) ? Manages: Frontliners, supervisors, housekeepers, parking attendants, technical operation manager, engineers, and IT specialist (if needed) ? Position Goal: Ensure the smooth operation of the coworking network, manage staff, maintain service quality, and enforce operational standards
Main Responsibilities:
Managing Daily Tasks of the Coworking Space:
Coordinating daily tasks of the staff across all coworking locations: Setter Berawa, Setter Ubud, and Setter Berawa Beach.
Ensuring the seamless operation of coworking spaces, including rental management, services, and equipment.
Monitoring the teams service standards and the quality of the services provided.
Overseeing the completion of technical tasks within the coworking space.
Implementing regulations for the team to improve customer service quality and operational efficiency.
Managing Staff:
Recruiting, training, and developing staff (frontliners, supervisors, parking attendants, cleaning and maintenance staff).
Creating and maintaining a positive work atmosphere.
Organizing regular meetings and training sessions to improve professionalism and motivation.
Managing employee work schedules, ensuring KPIs and goals are met.
Recruiting and optimizing the team.
Financial Management and Documentation:
Managing the creation of budgets, monitoring expenses, and managing revenue within the coworking spaces.
Optimizing costs and finding opportunities to improve profitability.
Ensuring timely payment of all bills and invoices.
Customer Interaction:
Ensuring a high level of service for residents.
Assisting in organizing and conducting events to build and maintain the community (meetings, lectures, training sessions, workshops).
Resolving customer conflicts and issues promptly.
Gathering customer feedback and implementing improvements based on their suggestions and comments.
Managing contracts and ensuring timely payment of bills from residents.
Conducting tours and selling offices.
Service Quality Control:
Ensuring high service standards (cleanliness, technical condition of equipment, internet, and guest facilities).
Conducting regular checks and audits of the quality of work by front-line staff and junior managers.
Creating and implementing quality assessment systems and working with customer feedback.
