Who Were Looking For

We are seeking a Private Retreats Coordinator to oversee the design, coordination, and flow of all private retreats at Samyama. This role blends product management, client care, and operational excellence. Youll ensure that every private retreat - from inquiry to post-retreat integration - is seamless, personalized, and transformative.

This is a part-time role (20 hours/week), ideal for someone who is highly organized, detail-oriented, and comfortable holding both client-facing and backend coordination responsibilities.

What Youll Do

Product Management & Development

  • Develop and refine private retreat programs, program logic, and teaching approach.

  • Communicate frameworks clearly to new and existing teachers.

  • Create and harmonize teacher rates grid in alignment with other Samyama products.

Process Management

  • Refine end-to-end workflows for private retreats (including templates, milestones, and client communications).

  • Implement feedback collection and integration systems.

Coordination & Scheduling

  • Request teacher availability, check hall availability, and align with client requests.

  • Confirm or decline retreat feasibility (Go / No-Go decision).

Client Engagement

  • Take client calls (mostly pre-retreat, sometimes sales-related).

  • Collect health data, expectations, and intentions; summarize and hand over to teachers.

Teacher & Program Support

  • Review instructors program deliverables and provide feedback.

  • Set up and moderate WhatsApp groups for teachers and onsite team during retreats.

Reporting & Finance

  • Compile monthly revenue and cost reports for private retreats.

  • Prepare and confirm teacher payout summaries.

  • Communicate with external teachers to ensure payments are accurate and received.

Post-Retreat Care

  • Share follow-up resources, reading materials, or links with clients.

  • Support alumni connection with Samyama community when appropriate.

What Were Looking For

  • Strong organizational and project management skills.

  • Excellent written and spoken English.

  • Background in program coordination, hospitality, wellness, or retreats.

  • Ability to manage multiple stakeholders (teachers, clients, sales, finance).

  • Calm and detail-oriented under pressure.

  • Familiarity with yoga / mindfulness communities is a plus.

  • Previous experience with reporting, scheduling, or customer communication tools is an advantage.
