Position:

Reservation Staff - Travel Agent

Reports To:

Reservation Manager / Sales & Reservation Supervisor

Key Duties and Responsibilities:
  1. Handling Reservations

    • Receive and process booking requests from clients, partners, and agencies (via phone, email, or online platforms).

    • Confirm availability with hotels, airlines, transportation, or tour operators.

    • Issue booking confirmations, vouchers, and related travel documents.

  2. Customer Service

    • Provide accurate information about travel packages, rates, itineraries, and services.

    • Assist clients with changes, cancellations, or special requests.

    • Handle customer complaints or issues in a professional manner and escalate when needed.

  3. Coordination with Partners & Suppliers

    • Maintain strong communication with hotels, airlines, transport providers, and tour suppliers.

    • Negotiate rates and secure availability during peak seasons.

    • Monitor supplier confirmations to ensure accuracy of reservations.

  4. Administration & Documentation

    • Maintain reservation records and client files in the system.

    • Update daily, weekly, and monthly booking reports.

    • Ensure timely invoicing and proper documentation for accounting and finance.

  5. Sales & Upselling

    • Promote additional services such as tours, activities, insurance, or upgrades.

    • Support the sales team by providing reservation details and availability updates.

    • Assist in achieving sales and revenue targets through effective reservation handling.

  6. Teamwork & SOP Compliance

    • Work closely with the sales, contracting, and operations teams to ensure smooth service delivery.

    • Follow company Standard Operating Procedures (SOP) for reservations and customer handling.

    • Contribute to team meetings and suggest improvements in reservation processes.
