I. Job Purpose:
To ensure smooth and efficient handling of all reservation-related duties, including guest bookings, OTA management, communication with internal departments, and maximizing room revenue through effective booking strategies.
II. Key Responsibilities:
Reservation Management
- Handle all reservation inquiries via phone, email, OTA platforms, and walk-ins in a timely and professional manner.
- Process new reservations, cancellations, amendments, and no-shows accurately and in accordance with company policies.
- Maintain and update reservation systems, ensuring availability and rate accuracy across all channels (e.g., direct, OTA, GDS).
- Monitor daily arrivals, departures, and special requests to ensure guest satisfaction and smooth operation.
- Verify and ensure proper billing setup, especially for group reservations, OTA virtual cards, promos, and direct bookings.
Revenue & OTA Coordination
- Assist with daily yield and rate management strategies in coordination with the Revenue Manager or Sales team.
- Monitor OTA bookings and ensure correct application of promotions, packages, and restrictions.
- Coordinate with channel managers (e.g., Cloudbeds, HotelRunner, SiteMinder) for rate and inventory distribution.
Guest Experience Support
- Ensure all guest preferences, special requests, and VIP arrangements are recorded and communicated to the appropriate departments.
- Respond promptly to guest inquiries and provide accurate information about the hotel, services, and local area.
Collaboration & Communication
- Liaise with the Front Desk, Housekeeping, and Sales departments to ensure seamless pre-arrival and stay experience.
- Prepare arrival reports and share important reservation details with operational teams daily.
- Assist with group bookings, event block setup, and group billing profiles.
- Coordinate with Sales and Marketing for promotional availability, social media campaigns, and site inspection room bookings.
Administrative & Reporting
- Maintain up-to-date records of reservations, guest profiles, and payment details.
- Generate daily, weekly, and monthly reservation reports as needed by management.
- Assist in training new reservation/front office team members when required.
- Support front desk operations during peak periods or in the absence of Front Desk staff.
III. Qualifications:
- Proven experience in Reservations or Front Office (preferably in hospitality industry)
- Familiar with OTA platforms, PMS systems (e.g., Cloudbeds), and channel managers
- Strong communication skills in English and Bahasa Indonesia
- Detail-oriented, organized, and customer-focused
- Able to multitask and work in a fast-paced environment
