Executive Assistant to Director (Mandarin Speaker)

About the role

This full-time Executive Assistant to Director (Mandarin Speaker) role at PT. Indonesia Fintopia Technology is an exciting opportunity to provide high-level administrative and personal support to the Director. Based in Jakarta, you will play a crucial role in ensuring the smooth running of the Directors day-to-day activities and responsibilities.

What youll be doing

• Manage the Directors calendar and schedule, arranging meetings, appointments and travel arrangements

• Provide administrative support, including handling correspondence, arranging catering and organising events

• Act as the main point of contact for other expatriats from China regarding relocation, local adaptation, and company procedures.

• Provide discreet and professional personal support to the Director as required

• Support onboarding, cultural integration, and housing arrangements for expatriates as needed.

• Collaborate with HR, GA, and Finance teams to ensure smooth expatriate support, including accurate records of expat status, address, KITAS, and other administrative matters.

What were looking for

• At least 2 years experience as an Executive Assistant or in a similar high-level administrative role

• Demonstrated proficiency in Mandarin and English, both written and verbal

• Strong organisational and multitasking skills, with the ability to prioritise effectively

• Excellent communication and interpersonal skills, with a professional and discreet manner

• Proactive problem-solving abilities and the confidence to make decisions independently

• Proficient in using Microsoft Office suite and other administrative software
