Event Manager

Role Description (12-Month Project-Based)

Green School Bali is looking for a dedicated Event Manager to lead the planning, execution, and growth of the Regeneration Event 2026—our global conference focused on sustainability and transformative change. As the Event Manager, you will oversee the entire event lifecycle—from ideation and logistics to post-event evaluation. This includes working with internal teams and external partners to ensure seamless operations and an exceptional experience for all participants. You will also manage budgeting and contribute to the success of Regeneration Event 2026, making a lasting impact within the Green School Bali community and beyond.

TAKES RESPONSIBILITY FOR

Event Planning & Execution:

  • Lead the end-to-end planning, coordination, and execution of events aligned with Green School Balis mission.
  • Develop event proposals, including themes, budgets, and operational plans.
  • Oversee logistics and execution, ensuring smooth operations before, during, and after the event.
  • Manage post-event evaluations and ensure financial reconciliation.

Logistics & Operations:

  • Coordinate all event logistics, including campus planning, transportation, permits, health and safety standards, and food and beverage (F&B) operations.
  • Work with internal teams to ensure all event logistics are aligned with Green School Balis sustainability goals.
  • Develop comprehensive campus maps and vendor contracts for event setup, operation, and teardown.

Partnership & Sponsorship Management:

  • Build and manage partnerships with sponsors, vendors, and service providers to ensure a seamless event experience.
  • Sell event partnership and sponsorship packages, ensuring mutual benefit and alignment with sustainability values.
  • Negotiate and maintain relationships with hotels, transportation providers, and vendors to enhance event operations.

Marketing & Promotion:

  • Work with the AMC team to drive event marketing efforts and ticket sales.
  • Develop promotional strategies to engage potential attendees through outreach and partnerships.
  • Assist with branding efforts to ensure sponsor logos and messaging align with Green School Balis values.

Guest Services:

  • Set up and manage an on-site information office to assist attendees and address inquiries.
  • Provide VIP and guest services, including troubleshooting and support during the event.

POSITION CRITERIA

  • Proven experience in event management, logistics, and budgeting.
  • Strong project management skills and the ability to manage multiple tasks and deadlines.
  • Experience in sales, marketing, and promotions, preferably in educational or sustainability-focused events.
  • Excellent communication, negotiation, and interpersonal skills.
  • Passion for sustainability, environmental education, and community engagement.
  • Ability to collaborate effectively with cross-functional teams.
  • Willingness to work weekends when required and take a hands-on approach to event execution.
  • Knowledge of Green School Balis sustainability values and holistic approach is a plus.
