Job Description

Position: Assistant Operational Manager & Client Relations

The Assistant Operational Manager & Client Relations is responsible for supporting the operational team in day-to-day coordination and ensuring smooth communication with clients, vendors, and internal teams. This role requires excellent organizational skills, attention to detail, and a proactive approach in handling client inquiries, operational support, and communications across platforms including WhatsApp.

Key Responsibilities:- Act as the point of contact for client inquiries via WhatsApp, email, and phone.- Assist the Operational Manager with daily schedules, calendar coordination, and task prioritization.- Maintain effective communication with internal departments to ensure smooth operations.- Handle client concerns or complaints and follow up to resolution.- Prepare and maintain reports for internal tracking and client updates.- Coordinate with vendors, including managing relationships and negotiations.- Support organize documentation, masterplans, floorplans, and payment terms for projects.- Ensure timely and professional responses to client inquiries—even when full answers are not yet available.- Support sales inquiries by responding appropriately and guiding prospects through initial information.

Qualifications:

- Bachelors degree or Master degree in Communication, Business, Management or Economic.

- Minimum of 3-5 years of experience in an operational support, client service, or any role in client facing, preferably within a fast-paced environment.

- Exceptional verbal and written communication skills in English and Bahasa Indonesia, with the ability to articulate complex information clearly and concisely.

- Strong client relations skills, with a proven ability to handle inquiries, concerns, and complaints professionally and empathetically.

- Superior organizational and time management skills, capable of managing multiple tasks, prioritizing effectively, and maintaining meticulous records (e.g., documentation, reports, schedules).

- Proactive and resourceful in identifying issues and following through to resolution, even when complete information is not immediately available.

- Ability to build and maintain effective working relationships with clients, vendors, and internal departmental teams.

- Proficient in using office software (e.g., Microsoft Office Suite: Word, Excel, PowerPoint) and communication platforms (e.g., WhatsApp Business, email systems, calendar management tools).

- Experience with CRM or project management software is a plus.

- Meticulous and accurate in all tasks, from data entry to document preparation.

- Proficiency in Indonesian and English languages is a MUST

- Ability to work independently and collaboratively in a fast-paced environment.
