Expense Claim Manager

Key Responsibilities

• Manage end-to-end review, validation, and processing of expense claims submitted by Sales, Trade, and Marketing teams.

• Ensure claims are aligned with internal policy, budget limits, and proper documentation standards.

• Collaborate with the FBP Manager to ensure expense trends are monitored and flagged (e.g., over-budget claims, abnormal submissions).

• Liaise with the Accounting (AP) team to ensure timely posting and disbursement of approved claims.

• Continuously optimize claim processes for speed, clarity, and user experience — especially for GT/MT field team users.

• Support audits by maintaining a clean claim documentation trail and system records.

• Partner with Commercial teams to proactively educate and enforce compliance on claim policies.

Requirements

• Bachelors degree in Finance, Accounting, or Business Administration.

• 3+ years of experience in claims, expense management, or AP, preferably within FMCG, retail, or distribution-driven businesses.

• Strong understanding of GT/MT channel structures and related field activity claims (e.g., event, outlet visibility, travel, distributor reimbursement).

• Solid experience in managing manual or semi-automated claim processes, with strong proficiency in Excel (advanced formulas, pivot, VLOOKUP, etc.), and familiarity with Power BI or similar analytics tools.

• Detail-oriented with strong integrity, audit discipline, and process ownership mindset.

• Strong coordination skills across Finance, Sales, and Trade Marketing.

• Comfortable working in a fast-paced, high-volume environment with tight turnaround times.

✅ Nice to Have

• Experience supporting commercial teams during high-growth or expansion phase.

• Familiarity with local tax implications of employee reimbursements (e.g., PPh 21 treatment in Indonesia).

• Previous experience working with a Finance Business Partner or in a cross-functional setup.
