RESPONSIBILITIES:
- GENERAL AFFAIRS (GA)
Procurement & Asset Management:
- Manage the purchasing, control, and maintenance of the companys operational assets, including official vehicles and pantry supplies.
- Prepare budgets and analyze GA operational costs.
- Conduct inventory checks and stock-taking of work tools, office supplies, and other office necessities.
- Manage the lending of office inventory such as projectors, cameras, and other equipment.
Maintenance & Security:
- Organize and supervise the cleanliness and maintenance of office facilities (e.g., AC, electricity, dispensers, refrigerators, etc.).
- Supervise the performance of outsourced office boys, security personnel, and messengers.
- Prepare driver shift schedules for workdays, weekends, and public holidays.
- Manage insurance claims for company assets, including reporting and repair processes.
Legal & Licensing:
- Handle company legal documents such as deeds, business licenses, company registrations, SKA, WLP, and others.
- Ensure the completeness of documents for operational vehicles (registration, insurance, parking, vehicle inspections, etc.).
- Liaise with government institutions and external parties regarding office licensing and security matters.
2. HUMAN RESOURCES (HR)
HR Administration:
- Conduct candidate calling and recruitment document checks.
- Schedule external psychological tests and prepare new employee documents.
- Manage attendance, leave, permission, and overtime systems for employees.
- Update and report BPJS Employment data in accordance with regulations.
- Record and summarize all personnel-related expenses.
Employee Relations & Discipline:
- Monitor employee discipline and report to superiors accordingly.
- Coordinate internal office activities such as gatherings, training, and other events.
- Prepare monthly and annual HRGA reports for management.
Performance Analysis & Human Resource Development:
- Manage and analyze KPIs for all employees.
- Work closely with the HR Manager on employee development improvements.
Develop the HRGA management system to increase work efficiency.
QUALIFICATIONS
EDUCATIONAL BACKGROUND: Minimum Bachelors degree in any major; Psychology or Human Resource Management preferred.
EXPERIENCE: At least 5 years of experience in HRGA; supervisory experience is an advantage.
SPECIAL SKILLS:
- Strong communication and negotiation skills
- Proficient in asset management and procurement
- Able to drive a car and possess a valid driving license (SIM A & C)
- Knowledgeable in licensing and corporate administration systems
- Proficient in computer operation and HRGA administrative software
