Procurement Executive

Tasks & Responsibilities
  • Reviewing Purchase Request issued by respective department prior looking for the sourcing supplier/subcontractor

  • Coordinating with the warehouse team against the availability of goods to be purchased

  • Sourcing and purchasing requested materials or components based on required specifications and quantities for both local & overseas purchase

  • Looking for price comparisons and negotiating prices, delivery times and quality of goods

  • Create a purchase order (PO) based on the Supplier bids analysis report

  • Sourcing and arranging suitable transportation and or freight option of the goods delivery

  • Ensure the quality of the purchased material according to usage and needs and follow up (if any) discrepancies between items sent by the supplier to the terms/specifications of the order

  • Create, update approval supplier list (ASL) and periodically evaluate the performance of the ASL accordance with established procedures

  • Create purchase order status report, file and maintain purchase documents/records

  • Analyses procurement data and identify opportunities to improve efficiency and cost saving

  • Manage relationships with organizational network and external vendors for procurement

  • Negotiates and reviews long-term contracts with suppliers to ensure optimum cost and reliable supply

  • To source and on-board potential new suppliers where required, and to follow correct procedures and documentation when engaging suppliers

Qualifications & Experience
  • Bachelors degree in management/business administration/Engineering or a related field from a reputable university, with a good GPA score

  • Over 5 years of demonstrated experience managing end-to-end purchasing processes for local, overseas, online sourcing and purchasing on various e-platform —including vendor sourcing, price negotiation, documentation, and goods receipt (from manufacturing OCTG is much advantage)

  • Excellent verbal and written communication skills, with fluency in English.

  • Strong negotiation skill, good interpersonal skill in dealing with internal and external parties, excellent analytical and problem-solving skills

  • Understanding technical requirements of the goods and services (much advantage)

  • Having knowledge and understand with management systems and standard of ISO 9001, API Q1, ISO 45001 and ISO 14001 (would be an added advantage).

  • Strong understanding of export and import procedures and regulations, including customs documentation and shipping coordination

  • Proficiency in procurement software and Computer Literate

  • Flexible, adaptable, honest and able to work independently as well as in a team

  • Being Resourceful, must be target-driven and results-oriented.

  • Able to drive and hold a valid drivers license (SIM A); willing to travel for business purposes as needed (Travel for supplier visits, logistics coordination)
