Job Description

HeyVisa is looking for a detail-oriented, communicative, and eager-to-learn Visa Agent to join our growing team.

As a Visa Agent, you will be on the front lines helping clients prepare and submit visa applications for destinations such as Japan, Schengen countries, the UK, South Korea, and more.

You will work directly with clients, guide them through the document requirements, and ensure each application is neatly compiled, accurate, and in line with embassy standards.

Responsibilities

• Communicate with clients via WhatsApp, email, or in-person

• Provide complete and clear information about visa documents and processes

• Assist in filling out forms and creating travel itineraries

• Organize, review, and archive client documents neatly

• Help schedule appointments with VFS/embassies

• Stay updated with the latest visa requirements from embassies

• Report process updates and any issues to the Supervisor/Manager

• Deliver friendly, patient, and solution-oriented customer service

Qualifications

• Minimum education: High school diploma (D3/S1 preferred)

• Experience in a travel agency, VFS, or visa services is a strong advantage

• Detail-oriented, organized, and comfortable working with documents

• Good communication skills and patience in dealing with various client types

• Familiar with Google Workspace (Docs, Sheets, Drive)

• Able to work in a team and meet daily processing targets

• Willing to learn about visa requirements for new countries

• Basic English skills (for filling out forms and reading documents)
