Today, We are seeking a Office Assistant.

We are looking for:

Duties and Responsibilities:

  • Calendar Management: Maintain the teams calendars, schedule meetings and appointments, and coordinate with internal and external stakeholders. Ensure all team members are informed of their schedules and deadlines.

  • Email and Communication Management: Handle and prioritize incoming emails and communications. Draft and respond to emails on behalf of the team when necessary.

  • Meeting Coordination: Prepare meeting agendas, take minutes, and assist in organizing team meetings and discussions. Track and ensure follow-up actions are completed.

  • Travel Arrangements: Arrange travel for team members, including booking flights, accommodations, transportation, and preparing travel itineraries.

  • Document Management: Organize and maintain documents, files, and records related to team projects and activities. Ensure accessibility and version control.

  • Administrative Support: Support various administrative tasks, including expense reporting, office supply management, and monitoring team-related expenses and budgets.

  • Project Support: Assist with administrative aspects of team projects, including tracking timelines, managing documentation, and facilitating team communication.

  • Content Production Support: Collaborate with the content team to support content shoots and production. Coordinate logistics such as equipment, location, and scheduling. Ensure all resources are prepared for smooth production processes.

  • Communication Liaison: Act as a liaison between the Brand and Communication Team and other departments to support effective communication and collaboration.

  • Event Coordination: Assist in planning and organizing team events, workshops, and marketing campaigns.

  • Compliance: Adhere to all company policies and regulations.

  • Workplace Safety and Cleanliness: Implement K3 standards (Occupational Health and Safety), and maintain cleanliness and tidiness in the workplace.

  • Other Duties: Perform any additional assignments as required by the Superior in the context of work.
